Runbook A — Importers (Amazon sellers, manufacturers, trading companies)
Prepare your data. Gather legal entity details, brand names, a product list with annual sales units, each packaging design broken into components with weights in grams and materials, and any EPR registration numbers you hold. Done when the figures are at hand.
Run the Setup Wizard (Help > Setup Wizard; new accounts land in it automatically). It creates your importer, brand, Authorised Representative and existing EPR registrations in one pass. Done when the wizard summary lists your importer and brand.
Add SKUs and packaging. Portfolio > SKUs > Import CSV for a whole catalog, or add products one by one; define each packaging design under Portfolio > Packaging Types. Done when every product shows an annual volume and is linked to a packaging type with components and weights.
Collect supplier evidence. Add suppliers under Evidence > Suppliers, then use Compliance Requests to send each a secure link (no account needed) to fill in material data and upload certificates. Done when key packaging data has supplier documents and no certificate is expiring.
Generate and sign DoCs. Compliance > Declarations of Conformity — one DoC per packaging type; manufacturer/AR details pre-fill from Settings. Requires Starter plan or above. Done when each packaging type shows a completed DoC.
Record EPR registrations. Compliance > EPR Registrations — one entry per country with registration number, PRO and renewal date; use the Jurisdictions pages (UK, US, Canada, Australia, Japan) for non-EU markets. Done when every sales country shows Active.
Set up reporting. Check Operations > Reporting Calendar, turn on reminders under System > Settings > Email notifications, export figures via Operations > Compliance Reports when a filing is due. Done when nothing is overdue and reminders are on.
The dashboard health score is the quickest progress check — it climbs as DoCs, EPR registrations, AR appointments and supplier data fall into place.
Runbook B — Brand owners (licensors, IP holders)
Run the Setup Wizard and choose "I'm a brand owner"; enter the entity that holds the trademarks.
Add all brands under Portfolio > Brands & Brand Owners; add trademark numbers so renewal tracking starts.
Authorise your importers: create a brand authorisation (LOA) with expiry date for each importer. If you also import yourself, a self-authorisation is created automatically. Expired LOAs block document use.
Monitor importer compliance and LOA expiries from the dashboard; renew before they lapse.
Runbook C — Agencies & consultants (multiple clients)
Run the Setup Wizard and choose "I manage compliance for others" — your agency is the account holder; clients are separate importers inside it.
Add each client via Portfolio > Importers (plan limits apply; Agency/Enterprise has no importer cap).
Work one client at a time via the importer switcher, running steps 3–7 of Runbook A per client.
Invite client contacts as Read-only users so they can self-serve status checks.
